FAQs...and Answers

What is the purpose of your DataSystem?

We created this DataSystem to be an efficient means where external sources would have an easier way to receive information concerning their clients' medical treatment via our Network.

By making this information available, we hope to cut down for offices who work with us, to not have to request records on demand. They can access the records themselves, at will.

What information is on the Database Records Section?

This page contains all of the records of each client's treatment within our Network. You will find information such as Examination/Surgical Reports, Diagnostics, etc. Basically, any significant medical-related information we receive that affects a client's injury, will be in their Patient-Client record.

How quickly is information posted to the Database Records Section?

Our Network spans many locations, with various physician private office locations within the States of Illinois, Kansas and Wisconsin.

Examination/Surgical Reports that originate from within our own Network offices are posted as soon as we receive them, normally on the same day of that patient-client's treatment or on the following day. Examination/Surgical Reports that originate from outside external clinic offices can take longer for us to receive, as we cannot control when other offices make available the reports they generate, but on average we receive them either on the same day of the client's treatment, normally we will be sent those files between 1-5 days after the date of service of that visit.

Examination/Surgical Reports may be delayed, if our Quality Control Process detects that a Report is not complete, needs corrections or needs further clarification. In these cases, our office staff works directly with the Physcian(s) to finalize their reports as soon as possible so we can make them available in the patient-clients database records.

Diagnostic reports, Therapy notes, FCE Reports, Insurer Authorization Correspondence, IME Reports, etc. depends on the provider how quickly they send to us, but on average we receive this type of information and post to the patient-client records in a timely fashion.

Our staff will contact offices directly if there seems to be a longer delay than usual in our Network receiving files needed in order for us to provide treatment needed by our patient-clients.

What about requesting and receiving bulk records, billing statements or medical certification of records? Can I do this via the DataSystem?

No. These requests are handled by a totally separate department at our Office, that has nothing to do with our online records system. Our Medical Records/Billing/Medical Certification Department handles these types of information requests. Information concerning this department is stated on this site ONLY for your convenience and informational purposes. You can call our Office at (312) 951-8200 for qualified information concerning this subject.

What can I use the Support Assistance option for?
Support Assistance is meant to help with support on issues related to the technical performance of our Datasystem Issues.
Support Assistance cannot help with are the status of receiving data files, current treatment statuses, patient-client appointment questions, and any adverse issues concerning any problems with medically treating your clients. These types of issues should be sent directly to our Center by calling out main office telephone number and speak to our support staff who can help and assist you concerning the above inquiries. Our Office Main contact phone number is:(312) 951-8200.

Can I use this system to inform your Network of changes concerning my clients' injury case/claim?
No. Advising our Network of changes with your client's case/claim will help us to better serve and provide the type of assistance and treatment your clients deserves. Especially if your office has taken over representation of a client, or if your office has ended representing a client or a client wishes to not continue pursuing their case/claim or is settling their case/claim, we would need to know this information. BUT, this information needs to be sent to our office, as our office is in charge of case managing, and deciding if we will accept that injury case or not.

Can I send new client referral information to your Office via your DataSystem?
No. Initial Referral Client Information needs to be directly sen to our Office. Our DataSystem only gets involved with your new clients ONLY after our Office has received initial information and discern if our Network will offer to treat or is feasible to treat that client.
